Questions
Everything people ask before they start, in one place. If yours is not here, ask us directly.
What it is
- What does Holiday Board actually do?
- It runs a holiday you have already booked. Put in your dates and every day of the trip appears. On each day you add what you are doing, what time it starts, what time the group needs to leave, where it is and what to bring. Everyone on the trip sees the same board, and while you are away it opens on today.
- Is it a travel search engine?
- No, and deliberately not. There is no flight search, no hotel search and no recommendations. It starts at the point where you know where you are going and the problem becomes organising it.
- Do I need to install an app?
- No. It runs in your browser on any phone, tablet or computer. Adding it to your home screen gives it an icon and makes what it has saved permanent, but there is nothing to download and nobody gets sent to an app store.
- What is a leave time, and why is it separate?
- The time the group has to be out of the door, as opposed to the time the thing starts. Dinner at 20:00 means leaving at 19:15. Only one of those numbers gets seven people out of a villa, and it is the one most planners have nowhere to put.
Money
- How much does it cost?
- A Holiday Pass is £6.99 and unlocks one holiday permanently. If you travel a lot, or want to scan receipts every month, Unlimited is £34.99 a year and covers every holiday. There is no monthly subscription.
- Does everyone in the group have to pay?
- No. The pass belongs to the trip, not to a seat on it. A group of eight pays £6.99 in total. Whoever organises pays once and everyone they invite gets the full version at no cost.
- What does the free version cover?
- One holiday, planned out in full: every day, as many plans as you like, the packing list, outfits, weather, splitting the money and the currency converter. What it does not cover is the group. A free holiday holds you and one other person, so bringing everyone else on is what the £6.99 is for.
- What happens if I do not pay?
- Nothing is deleted, hidden or held hostage. Everything you have added stays exactly as it is and you can carry on using it. You simply cannot go past the free limits until you unlock the holiday.
- Is there a refund?
- If something is genuinely broken, or it is not what you expected, get in touch and we will sort it out.
- Do you store my card details?
- No. Payments run through Stripe and Holiday Board never sees or stores a card number.
The group
- How do people join?
- You create a share link and send it, usually straight into the group chat. Anyone who taps it can join whether or not they already have an account.
- Can everyone edit, or only me?
- Everyone can add plans, change times, fix an address and log an expense. The person who created the holiday additionally controls the dates, the guest list and whether the trip exists at all, so the organiser does not become a bottleneck and also does not wake up to find someone has deleted it.
- What can the others see?
- The plans, times, locations, notes and what to bring are shared. What you are wearing is visible to the group but only you can change it. Your packing list is yours alone, and ticking something off does not tick it off for anyone else.
- What if only some of us are doing something?
- Put the people who are actually going on that plan. It then shows on their day rather than everyone’s, and what it says to bring only reaches their packing lists. Plans are for everyone unless you say otherwise, so a trip where you all stick together never needs telling.
- Can I remove someone?
- The person who created the holiday can remove any traveller. Expenses they were already part of stay on the ledger so the maths still balances.
While you are away
- Does it work without signal?
- Yes, on every plan including the free one. Your whole holiday saves to your phone the first time you open it, so with roaming off, or on hotel wifi that will not load, every day still opens with its times, addresses and notes. Ticking off your packing list works offline too and syncs when you are back on.
- Why does offline matter so much?
- Because the moment a planner is most needed is the moment it is most likely to fail: you have landed, roaming is off, and the one thing you want is the address of the villa. Other planners charge around £30 a year for this. We do not charge for it at all.
- Can I add plans while offline?
- Not yet. Reading everything works offline and your packing list is fully editable offline. Adding and editing plans needs signal, because those are shared with the group and two people editing the same day in different places would need reconciling.
- How does the weather work?
- Each day shows a forecast once a reliable one exists, which is roughly two weeks out. Days further ahead are marked "soon" rather than guessing, and days that have already been show the weather that was actually recorded.
Spending
- How does splitting work?
- Anyone logs what they paid, in whatever currency they paid it. At any point you can see who is up, who is down, and the smallest set of payments that clears it. Four people end up with three payments at most, not twelve.
- What about different currencies?
- Each expense keeps its original amount and currency plus the exchange rate at the moment it was entered. That rate is frozen to that expense forever, so rates moving next week never changes what Monday’s dinner cost.
- Does it move the money?
- No. It works out who owes what and stops there. Handling other people’s payments is a regulated business, and your banking app already does it better.
- What happens to the odd penny?
- It goes to a real person rather than being rounded away, so the split always adds back to the exact total. £100 between three is £33.34, £33.33 and £33.33.
Privacy and account
- Is my holiday private?
- Yes. Only the people on it can see it. Holidays are never public, never shared with anyone else and never indexed by search engines.
- I have forgotten my password.
- Use the "Forgot password" link on the sign-in page and we will email you a link to set a new one.
- Can I delete my holiday, or my account?
- Yes, from trip settings and account settings respectively. Deleting a holiday removes it for everyone on it, so it asks you to type the name first.
